The types of personal information we collect and how we obtain it

Information which individuals and entities provide to us when contacting SecuritEase. This information will include names, email address, company name, company address, telephone number, and location. Contact information obtained from our corporate clients, suppliers and other business contacts and prospects, collected in the course of our business dealings and through events. We obtain this information directly from individuals and from third parties where permitted. This information will include names, business contact details, job role, employer entity or professional status. We collect information about individuals who may be interested in working with or being employed by SecuritEase. This includes names, address, contact details, past roles, skills, experience and qualifications and the results of pre-employment checks and assessments.

Personal information is held for the following purposes:

Communicating with business contacts and responding to enquiries

We use information provided to us by individuals who have contacted us or given us business contact information for our own administrative and business development purposes. This includes responding to enquiries we receive, following up on business contacts, and providing information about our business and products to those who have consented to receive it. Depending on the method of contact, we may respond by letter, email, or telephone.

Recruitment

The SecuritEase Group of companies use information about candidates to assess their suitability for available employment or service contract roles and opportunities. As part of our recruitment process, we collect personal information directly from candidates or through a recruitment agency. This information includes personal contact details, such as a candidate’s name, title, address, telephone numbers, and personal email addresses. We also collect information pertaining to a candidate’s employment history, educational background, skills, experience, and qualifications, as detailed in their CV or obtained from other sources. Where relevant, we will record interview feedback, aptitude test results, and assessments of a candidate’s suitability for a role.

To fulfil referencing and pre-employment screening requirements and subject to the candidate's informed consent, we collect references from past employers and personal information about candidates from third party organisations. This information includes a candidate's immigration status, nationality, and citizenship, along with copies of right-to-work documentation, and the results of criminal, identity, financial (including credit history), and academic qualifications checks.

The legal basis for processing personal information

If UK or European data protection laws apply, the legal basis for processing personal information is as follows. For business contacts, we process data based on our legitimate business interests as a commercial entity, these interests do not outweigh individual’s privacy rights. For immigration and right-to-work information in recruitment, processing is necessary to meet our legal obligations. Candidate references and probity checks are processed based on the candidate's consent and our legitimate business interests.

Data recipients

Each member of the SecuritEase Group that is a data controller may share personal data with other members of the SecuritEase Group. Details of the entities that make up the SecuritEase Group of companies can be found here. We may also share personal information with our professional advisors and outsource service providers. These include third party entities who in the context of recruitment provide us with candidate information, host our HR system and carry out pre-employment checks. International data transfers

SecuritEase business operations may require the transfer of personal data to other SecuritEase Group companies, including international transfers. When UK or European data protection laws apply and data is shared with Group members outside the UK or European Economic Area (EEA), we ensure the recipients are bound by UK or EU approved standard contractual clauses, unless the recipient is in a country whose data protection regime is deemed by the European Commission or the UK Government to offer an adequate level of protection. Personal data may also be processed overseas when we use suppliers who have global operations. Where UK or European data protection laws require, we ensure that any transfer of personal data outside the UK or EEA is subject to adequate safeguards. These safeguards usually involve UK or EU- approved standard contractual clauses, unless the supplier has binding corporate rules in place within their organisation.

The duration for which we retain personal information

Personal data is retained for the duration required to fulfil its intended purpose and meet legal, regulatory, and accounting requirements. Candidate data is retained for 12 months, and business contact data for 7 years. Personal data is deleted once the retention period ends. As a result, individual rights described below, such as access, erasure, rectification, and data portability are no longer applicable.

Individual Rights Under Data Protection Law

Depending on the applicable data protection laws, individuals will have certain rights in relation to

the processing of their personal data.

If UK or European data protection laws apply, individuals have the following rights regarding

personal data we process:

  • Receive a copy of their data free of charge

  • Correct incomplete information or incorrect data

  • Object to processing based on their situation

  • Deletion of personal information if it is no longer needed, or an individual objects and we have no overriding need or legal requirement to retain it.

  • Receive their electronically processed data in a transferable format

  • Lodge a complaint with the UK's Information Commissioner’s Office (ICO) or other relevant supervisory authority.
